If your invoices still come out of an Excel workbook or a Word template, the new year is the cleanest moment to change. Switch in December and January starts in one system, your 2027 invoices sit in one place, and your accountant gets a tidier year to work with. This guide gives Jamaican SME owners a practical plan, an honest look at what invoicing software does and does not cover, and a checklist you can finish in a weekend.
Why the New Year Is the Best Time to Switch
Changing how you invoice in the middle of the year means your records for that year live in two places. Some invoices are in a spreadsheet, some are in new software, and anyone looking back has to piece them together. A 1 January start avoids that. Every 2027 invoice is created the same way, in the same place, from day one.
The timing also helps with tax season. Income tax returns for 2026 are due to TAJ by 15 March 2027 for the self-employed (15 April 2027 for companies), and your accountant will ask for your sales records. Next year, when they ask for 2027's records, you will have one tidy set instead of a folder of files called Invoice_FINAL_v3.
And December, for all its rush, has quiet evenings between Christmas and New Year that are perfect for setting things up. You do not need a consultant or a month of training to start sending invoices from proper software.
Where Excel Invoicing Lets You Down
Excel is a brilliant tool for many jobs. Invoicing at volume is not one of them. These are the problems that show up again and again in small businesses that invoice from spreadsheets:
Duplicated or skipped invoice numbers
You copy last week's invoice, change the customer and forget to change the number. Now two customers have invoice 1047, and your records no longer add up.
GCT formulas that quietly break
On a J$85,000 job, GCT at 15% is J$12,750. Insert a row in the wrong place and the formula may point at an empty cell, so the invoice shows no tax at all. Nobody notices until the customer, or TAJ, does.
No clear record of who has paid
Payments get noted in a different sheet, a notebook or not at all. When a customer says they paid last month, you have to dig through bank statements to check.
Copies that are hard to find
A client asks for a copy of an invoice from August. You search your sent emails, your desktop and a USB drive before you find it.
If any of these sound familiar, read our article on the signs your business has outgrown spreadsheets. Each problem costs a little time. Together, they cost you hours every month and some of your customers' confidence.
What Invoicing on VEDTECH Covers
It is worth being precise about what you are switching to. Every VEDTECH instance runs standard Odoo Community with Invoicing included. Invoicing does four things:
| What it does | What that means day to day |
|---|---|
| Create and email professional invoices with your logo | Every invoice looks the same and carries your branding, and you send it by email without leaving the system. |
| Set up the tax rates you charge; every invoice shows the tax separately | The tax appears as its own line on every invoice instead of hiding in a total. |
| Record payments and issue credit notes | When a customer pays, you record it against their invoice. When goods come back or a price was wrong, you issue a credit note instead of editing old invoices. |
| Your customers view and download their invoices online | Customers who lose an email can view and download their invoice online, so you spend less time resending copies. |
If your business grows into other needs, you can install other standard Odoo Community apps, such as CRM, Sales, Inventory and Website, from your instance's Apps menu.
What Stays With You and Your Accountant
Switching your invoicing is not the same as handing over your bookkeeping. Be clear about the boundary before you start, so nothing falls through the cracks.
These stay with you and your accountant. You will still file GCT returns by the end of the following month, pay statutory deductions to TAJ by the 14th of the following month, and prepare your annual returns as you do today. What changes is that the sales side of your records starts from clean, consistent invoices kept in one place, which makes everyone's job easier. Your Weekend Switch Plan
Most small businesses can complete this plan over a weekend. Do the preparation on Friday evening and the setup on Saturday, then send your first real invoice on Monday.
- Gather your customer details. List your regular customers with their legal names, addresses, email addresses and TRNs where you have them.
- List what you sell. Write down your main products and services with their usual prices, and note which ones carry GCT.
- Find your logo. Locate a clear, good-quality image file of your logo.
- Start your free trial. The trial runs for 14 days and no credit card is required.
- Set up the tax rates you charge. If you are GCT-registered, set up the 15% standard rate and any other rate you use.
- Send a test invoice to yourself. Open it on your phone and your computer. Check the logo, the details and the tax line.
- Close the old workbook. Note your last Excel invoice number, save a final copy and make it read-only so nobody adds to it by accident.
- Tell your accountant. Give them your cut-off date so they know where the old records end and the new ones begin.
- Send your first real invoice. Start with a regular customer who will tell you if anything looks wrong.
Handling the Changeover Month
The only tricky part of any switch is the handful of invoices already sent from Excel that are still unpaid. Keep it simple: leave those in the old workbook and mark them off as they are paid. Do not re-enter them in the new system, or you risk counting the same sale twice.
| Item | Where it lives |
|---|---|
| Invoices issued before your cut-off date | Old Excel workbook, read-only |
| Payments received on those old invoices | Marked off in the old workbook until all are settled |
| Every invoice issued after your cut-off date | VEDTECH |
| Payments on new invoices | Recorded in VEDTECH |
| Returns or corrections on new invoices | Credit notes in VEDTECH |
Let your regular customers know that invoices will look a little different and will arrive by email. Mention that they can view and download their invoices online. Most customers welcome the change, especially corporate clients whose accounts teams prefer consistent documents.
The Cost of Waiting Another Year
Work out your own numbers. If you spend ten minutes formatting, checking and emailing each invoice from a spreadsheet, and you send 60 invoices a month, that is ten hours every month, or around 120 hours a year. Add the time spent finding old copies and checking who has paid, and the real figure is often higher.
Then there are the costs that are harder to count: the customer who paid late because the invoice had the wrong total, the corporate client who sent an invoice back for missing details, the GCT line that was wrong for three months before anyone noticed. Our article on the real cost of spreadsheets goes deeper into these hidden losses.
If you wait until a quiet month in the middle of 2027, 2027 ends up split across two systems. The free trial costs nothing, needs no credit card and takes a weekend to set up. Starting now means your first invoice of the new year is already a professional one.
